Community Voices privacy notice

Community Voices privacy notice

Last updated: 14th October 2026

This notice explains how we handle your information when you send us a video through our Community Voices programme. It sits alongside our main Privacy Policy, which covers everything else about how we use personal information.

Who we are

Flow Science Holdings Ltd, trading as Klario (company number 16667576, registered at 68–80 Hanbury Street, London, E1 5JL), is the controller of your information. You can contact us at support@myklario.com.

What we collect

  • Your name, email address and Instagram handle, if you give it.
  • Your video, which may show your image and voice, and may include health information if you choose to talk about it.
  • To pay your reward: your PayPal email address, or the bank details you give us directly on an invoice. If your reward is store credit, we only need your email address.

How we use it

  • To review your video against our creator guidelines.
  • To send your reward.
  • With your permission, to use your video on our website, social media accounts, emails and paid advertising, including Meta (Facebook and Instagram) ads. We may trim, caption or crop it, but we won’t change what you say.

Our legal basis

  • Paying your reward and using your video: our agreement with you when you submit it, and your permission.
  • Reviewing and running the programme: our legitimate interest in promoting our products with genuine customer experiences.
  • Health information: your explicit consent, given through the tick-box on the form. Health information is a special category of personal data under UK GDPR, and we only use it for the purposes above.

Who sees it

  • Our service providers: Typeform (where you submit your video), Google Drive (where we store it), and PayPal or our bank (to pay you). They only use your information on our instructions.
  • Meta: if your video is used in an ad, Meta also processes it under its own privacy policy.
  • The public: once your video is posted, anyone can see it.

Some of these providers may process your information outside the UK. See the International Transfers section of our main Privacy Policy for how we protect it.

How long we keep it

  • Videos we decline: deleted within 30 days.
  • Videos we approve: used for 12 months from approval, then removed from use unless you agree to renew.
  • Your permission record (your form submission and ticked consent boxes): kept for one year.
  • Payment details: deleted once you’ve been paid. We keep payment records as long as tax and accounting rules require.

Withdrawing your permission

You can ask us to stop using your video at any time by emailing support@myklario.com. We’ll stop any new use straight away and remove it from our website, social media and live ads within 5 working days.

Please be aware that once a video has been posted publicly, we can’t control copies others have made, such as shares or screenshots. Withdrawing your permission doesn’t affect your reward, or any use before you withdrew.

Your rights

You have the right to see, correct or delete your information, to object to or restrict how we use it, and to withdraw your consent at any time. To do any of these, email support@myklario.com.

If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.

Age

The programme is only open to people aged 18 or over. If we find a video was sent by someone under 18, we’ll delete it.
